Virtual Assistant/ Customer Service Specialist

Job Description

My Aligned Purpose is looking for a talented individual to join our team as a Virtual Assistant, focused on client experience. You’ll work with a female led start-up business, serving women entrepreneurs to accelerate their purpose, potential and profit. Through individualized coaching, self-directed courses and specialized masterminds, My Aligned Purpose empowers and elevates women entrepreneurs.

Our new Virtual Assistant, focused on client experience will work alongside the two founders to help scale the business by harnessing the power of our tech platforms including Kajabi, Zapier, Canva, Asana and more.

We are looking for someone who is quick and savvy with technology & who loves taking on new challenges! The ideal candidate is open minded, passionate about client experience and excited to move quickly and support the founders.

This is currently a part-time role however could turn into a full-time role within a few months. Contract basis. Remote.

Ways you will do this include (but are not limited to):

Admin

  • Managing email and replying to emails within a business day
  • File receipts 
  • Build out SOPs as you track processes

Track Metrics

  • Track new leads & purchases in notion
  • Client acquisition
    • Flag team to create welcome videos or to send voice note to new clients; send video email
    • Lead conversation in weekly meeting or slack about follow ups & next steps for any sales convos with potential clients

 Launch Management

  • Communicate, track and manage projects via Notion
  • Website Management
    • Update landing pages, banners and opt-ins as needed
    • Ensure public facing websites reflect current offers
  • Prepare and assist with execution of free events, paid events, launches 
    • Attending zooms when possible & prioritized
    • Dropping links when possible & prioritized
    • Capturing recordings when possible & prioritized
    • Sending replays when possible & prioritized

Client Support

  • Create a welcoming, open client experience for all clients through any correspondence
  • Prepare + schedule month ahead reminder and content emails for clients 
    • Change A CEO Method facebook group cover photo monthly
  • Prepare + schedule replay emails and add to product in Kajabi
  • Ensure awards, giveaways and birthday gifts are delivered
  • Manage client onboarding and renewal (and offboarding) process

Content Management is a secondary priority but is on the wish list... 

  • Add content to the client portal 
  • In collab with Kaila, prepare & schedule marketing emails (we provide the copy & graphics)
    • Prepare & schedule new podcast emails (we provide the copy & graphics)

We are looking for someone who is quick and savvy with technology, who loves taking on new challenges, and who looks at a problem with its potential in mind. The ideal candidate is open minded, passionate about the power of technology and excited to move quickly and implement solutions.

About the role

  • Support execution of launches / programs in Kajabi, including but not limited to
    • Create professional quality landing pages that convert to sales
    • Automate specific funnels
    • Create, link and manage check-out pages, offers, coupons, etc.
    • Create, link and manage events, countdowns and forms o Update / change details on current website
    • Maintain client records and contacts within the CRM

  • Create on-brand digital content

  • Automate client on-boarding process

  • Actively troubleshoot any issues that arise with tech platforms that we use to do business

  • Be available to meet with founders on zoom as needed

  • Other administrative tasks as needed

About you

  • You have experience with design/website building software, specifically Kajabi and project management software, specifically Asana

  • A self-starter who is able to work independently

  • Extremely organized, detail oriented, able to manage multiple projects at once

  • Outstanding communication, listening, and writing skills, with specific attention to details and follow-up

  • Strong planning abilities, problem solving and decision making skills

  • Ability to work in a fast-paced environment and handle a wide variety of activities and confidential matters with discretion

  • High proficiency in Canva, Google Suite

  •  *Asset* Experience in a start-up environment is a plus
